🔑 Passwords & who has access▾

There are two passwordsThe Admin password is for students and booster club members. The Director password is only for Mr. G (the director). The Director password unlocks extra settings like changing passwords.

Default passwords (change these!)Admin: BandOfGold | Director: BOGDirector. Go to Password in the sidebar to change them. You need the Director password to change either one.

Forgot the password?Contact whoever was the previous admin or Mr. G. The Director password can reset everything. If all passwords are lost, a developer needs to reset them in the database.
⚙️ First-time site setup▾

Go to Site SettingsClick Site Settings in the sidebar. Fill in the band name, school name, season year, location, and contact email. Hit Save changes — these appear throughout the public site.

Add social media linksIn Site Settings, scroll to Social & Contact. Paste your Instagram, Facebook, TikTok, and YouTube links. These appear in the footer and Contact section of the public site.

Add donation linksIn Site Settings, scroll to Donations. Paste your Zeffy, Venmo, or Cash App links. These go into the fundraising section on the site.

Save everythingEach card in Site Settings has its own Save button. Make sure you save each section after editing.

Create a free accountGo to cloudinary.com and sign up with the booster club email. It's 100% free — no credit card needed.

Get your Cloud NameAfter signing in, your Cloud Name appears on the dashboard (top-left corner). It looks like dxyz12abc. Copy it.

Create an upload presetIn Cloudinary, go to Settings → Upload → Upload Presets → Add upload preset. Change Signing Mode to Unsigned. Click Save. Copy the preset name.

Paste both into Site SettingsIn this admin panel, go to Site Settings → Photos (Cloudinary). Paste your Cloud Name and Upload Preset. Hit Save. After that, the Photos section will work for uploading.

Upload photosGo to Photos in the sidebar. Drag and drop or click to upload. Hero photo = the big background image. Gallery = competition & event photos.
📅 Google Calendar events▾

What this doesWhen set up, the site pulls events from the band's Google Calendar and shows them automatically — dates, times, and locations included.

You need a Google API keyThis is a free code that lets the site read your calendar. Go to console.cloud.google.com → create a project → enable the Google Calendar API → go to Credentials → Create an API Key. Copy the key.

Save the keyIn this admin, go to Site Settings → Season. Paste the API key into the Google Calendar API key field and hit Save.

Already done for youThe API key has already been set up. You only need to redo this if the key stops working. Check Admin Notes for the key backup.
🎺 Next Show card▾

What it isA highlighted card on the public site showing the next performance — name, date, time, venue, and a "Get tickets" button. It appears right above the calendar.

How to set itGo to Next Show in the sidebar. Fill in the show name, date, time, venue, and ticket link. Hit Save Next Show.

After the show is overGo back to Next Show and click Clear so it disappears from the public site. Then add the next one.

What it isA section on the public site showing sponsor logos or names. Great for thanking businesses that support the band.

How to add a sponsorGo to Sponsors in the sidebar. Click + Add sponsor. Enter their name, website link, and upload their logo. Hit Save changes.

How to remove a sponsorClick the trash icon next to a sponsor and hit Save. They'll disappear from the public site immediately.
🎬 Videos▾

Upload to YouTube firstGo to youtube.com, sign in with the band's account, and upload the video. Set it to Public or Unlisted.

Copy the video linkClick Share on the video and copy the URL. It looks like youtube.com/watch?v=abc123.

Add it to the siteGo to Videos in the sidebar. Click + Add video, paste the link, give it a title, and hit Save changes.
📢 Announcement banner▾

What it isA gold bar at the very top of the public site. Use it for urgent news — upcoming show, fundraiser deadline, rain cancellation, etc.

How to turn it onGo to Announcement in the sidebar. Toggle it on, type your message, and optionally add a link. Hit Save changes.

Turn it off when doneAfter the event passes, go back to Announcement and toggle it off. Nobody wants to see a banner about a show from three weeks ago.
💾 Backup & restore▾

Always back up before big changesGo to Backup & Restore in the sidebar. Click Download backup. Save the file somewhere safe — Google Drive, email to yourself, etc.

To restoreGo to Backup & Restore, click Choose file, select your backup file, and hit Restore. This brings back all content — announcements, photos, videos, sponsors, everything.

Backup scheduleBack up at least once at the start of each season and once at the end. Store the file somewhere that won't be deleted (not just on your phone).
🔄 What to update each season▾

August — before season startsDownload a backup. Update the season year in Site Settings. Update Student Leaders. Update staff in Administration if anyone changed. Set the Next Show card.

During seasonUse the Announcement banner for show reminders. Clear the Next Show card after each competition and set the next one. Add photos after every show. Add YouTube videos after competitions.

After state competitionUpdate Accomplishments with any new titles. Add the championship video. Turn off the announcement banner. Clear the Next Show card. Download a final backup.

Passing it onWhen a new admin takes over, share the Admin password. Leave notes (Cloudinary login, contacts, what to do) in Admin Notes — it's private and won't be seen by the public.
